Equipment Carrier Responsibilities
As a coach you must ensure the maintenance, and safe transport of all equipment. You must also communicate and report the state and possession of the equipment in your possession.
1. Record the Reception and Return of Equipment
What do I do when I receive equipment?
The reception of equipment must be recorded using the Google Swap form found here as a Receiver. At which point you are now responsible for the equipment assigned until a later point when you return the equipment. You must ensure:
That all the equipment assigned are of the same batch
They would all have the same number written each with a different letter
There the correct number of items within the enclosed case.
- Be sure to communicate with the equipment provider so that you have all the equipment needed.
What do I do when I return the Equipment?
The return of equipment must be recorded using the Google Swap form found here as a Provider. You must ensure that you communicate damage that you noticed when you fill in the Google swap form.
Where do return the Equipment?
The return of the equipment should be done at our Hatch center locations. Please ensure you arrive when the centers are Open. More information on Centers can be found here.
2. Ensure Equipment Maintenance and Care:
A Laptop Responsible Coach, or coach with any other company equipment, must ensure the care and maintenance of equipment entrusted in their care.
They must ensure all equipment (case, laptops, chargers, hotspots, etc) is:
In good working condition.
Specifically, all laptops must turn on and allow the user to access the Internet and the Hatch Platform.
All equipment must be free from physical damage such as broken hinges, missing keys, etc.
Contained in their carrying case when not used for a shift.
Organized.
Each coach must keep their own batch and not mix in with other batches.
DO NOT SWAP LAPTOPS with other coaches.
Please do not place personal items within the caring case as hatch is not responsible for lost or damaged articles.
Equipment preparation
All Equipment is must be fully charged prior to the assigned coach’s shift.
3. Safely Transport to and from Shift

A coach must ensure the safe transport of all equipment aligning with the Safe Lifting Procedures. They must ensure that assigned equipment is:
Safely transported and not left unattended.
Lifted following all safe lifting procedures outlined in Safe Lifting Procedures.
Stored properly when not in use.
4. Report Damaged or Lost/Stolen Equipment
Report Damaged or Lost/Stolen Equipment
It is your responsibility to ensure that all equipment is free from damage and report any and all problems with specific equipment.
What is Damaged Equipment?
Damaged equipment that must be reported may include but is not limited to:
Laptops/hotspots that are unable to:
Turn on and boot
Log in
Access the internet (Wi-Fi Issues)
Access the Hatch Platform
Physical damage such as:
Scrapes or dents
Missing or broken keys
Broken hinges
Cracked screen
Broken trackpad
Depleted and/or broken battery
Flayed wired or broken chargers
Software issues including viruses or malware or unauthorized programs
If the laptop is acting strange or you suspect it is infected stop using the laptop immediately and contact Hello Hatch.
FAQ
Does the Damage interfere with your student’s ability to learn?
If the laptop is not turning on or if the track-pad stops working it is important that you communicate this immediately with Hello Hatch, preferably before your next coaching shift. You are always required to have 6 laptops in working condition It is your responsibility to communicate with Hello Hatch so they can replace your equipment as soon as possible. When doing so, please Include the batch number, letter and description of the malfunctioning laptop and/or hotspot.
What if the Equipment is damaged but still working?
If the laptop has dents and/or scratches but is still functional, and in working condition you only need to report the damage when you return the laptop.
When filling out the Swap form, upon receiving or returning your equipment, there is an option to record damage. Please ensure that you communicate any and all damage sustained to the equipment.
What if I see a student purposefully Damaging a laptop?
If you see a student handling the equipment in a rough or in a manner that you think would cause damage it is important to address and correct the behavior in line with the company’s behaviour management policy shared with you during training. If the student continues to do so, they may lose their laptop privileges and you can remove their laptop for that class.
In all cases please fill a student incident report so that we can follow up with their behavior and take the necessary action to address it.
At hatch our priority is the education and development of all of our students, the condition of our laptops is a secondary concern.
What if I see inappropriate content?
If you encounter inappropriate content you should:Stop the use of the Laptop immediately
Fill out a student incident report detailing and all students involved or exposed.
Ensure that the offending material is removed immediately; if it cannot be removed contact Hello Hatch.
At hatch we do not tolerate racist, hateful or discriminatory behavior or content as well as pornography and violent or offending media.
As a coach it is your right not to be exposed to material that causes you and your students mental harm. Please communicate with us immediately so we can resolve and remove such content.
What if I loose of if my Equipment was Stolen from me?
In the event that equipment is lost or stolen contact your Hello Hatch immediately.
In the event that someone tries to steal the equipment from you, DO NOT BE A HERO, allow they laptops to be stolen.
At hatch, your safety is our primary concern, laptops are replaceable, you are not.
